We only have one chance to make a good first impression.
Remember the old adage? What is the first impression you or a visitor gets from your office? Is the space orderly, providing visible evidence that you are organized and confidently managing your affairs? If not, office clutter could be eroding your confidence in both yourself and/or your business.
A study in the Journal Of Experimental Psychology revealed that, upon interviewing 138 business people, 73% said their impressions of colleagues were influenced by the way their desks are organized. Nearly 70% believed that individuals with messy desks were perceived as less career-driven than their fastidious counterparts.
Can you find what you need?
Another downside to clutter is difficulty finding things you need. The average worker spends one week a year searching for misplaced items. What could you do with an extra week’s worth of time? Something more productive and fun than looking for things, right?
Why are you keeping all that stuff?
Why then, do we keep filing cabinets or desktops full of paper? According to the Small Business Administration 80% of the papers we file, we never refer to again. The answer that I hear most often is that people don’t know. They don’t know what to keep, how long to keep it for or why they are keeping it. Most people are afraid that if they throw something away, they may need it at a later date.
What’s the answer?
The answer comes down to putting a system in place to handle the things that clutter up your space. Do you have record retention guidelines in place? Do you know what documents you are required to keep, why you are keeping them, and for how long? If not, this is a good place to start. Make sure that you are only keeping what you absolutely need for legal or business purposes. Then, put a system in place for storing this information in a way that makes it readily available.
